ACKNOWLEDGEMENTS

The Division of Enrollment Management is pleased to announce several structural changes to the Office of Graduate Enrollment and the Office of Enrollment Management Operations, as of May 15. These changes aim to enhance the efficiency of both offices and streamline crucial processes to better recruit students to the School of Graduate and Professional Studies.

The Office of Enrollment Management Operations will now be known as the Office of Enrollment Technology and Communication. Bethany Parliament-Chevalier will continue to lead this team in the director role. She will now supervise Leah Conner, assistant director of enrollment technology and communication, SGPS, whose role will be responsible for overseeing the graduate instance of Slate. Diane Titter is being promoted to associate director of enrollment technology and communications as she will be expanding her duties related to Slate and communication flow to include prospective graduate students.

These staff will be responsible for recruiting the following programs:
Maranda Monroe: occupational therapy, music, education, higher education
Carly Rippeon: physical therapy (DPT and DSc) nursing, business and leadership
Leah Smock: counseling, master of science in nutrition and dietetics/dietetic internship
Rusty Hoffman: athletic training

Additionally, in the Office of Financial Aid, Ryan Swarner has been promoted to financial aid counselor following the departure of Esther Akusa.

School of Graduate and Professional Studies 2023 Commencement

Schedule and details
The full schedule for the 2023 Commencement Ceremony for the School of Graduate & Professional Studies is posted online at messiah.edu/gradcommencement. This website will also provide a live video stream of the commencement ceremony.
Members of the School of Graduate and Professional Studies faculty should have already received information from the Provost’s Office regarding their participation in commencement. Faculty, staff and administrators who are participating in the commencement ceremony should also have received a memo regarding their role in the ceremony from the commencement committee.

Parking
Parking lots YY (beside the Welcome Center) VV (the visitor’s lot) and TT (along the railroad tracks) and Sollenberger Sports Center will be the primary guest parking lot for this event.
Notes: Mill Road will still be closed. COE and employees may park in the ZZ lot (between the High Center and Old Main and surrounding Old Main). There will be no reserved parking passes issued for this event.

Active shooter exercise

Messiah University is required by the Jeanne Clery Act to annually review crisis response plans and to participate in training exercises. Each time the crisis response team participates in these exercises there is a review and lesson learned process, better preparing campus for emergencies.

On May 11 and 18 – between 8 – 11 a.m. – Messiah University will be partnering with the Upper Allen police department on a mock active shooter situation at Larsen Student Union. On May 11, the Messiah department of safety and the Messiah crisis response team will actively engage in the exercise, working through Messiah’s response plans. On May 18, the police department will work with the department of safety staff. During this time there will be multiple police vehicles and officers moving about campus. It is important to know that live ammunition will NOT be utilized or permitted during these drills. All people are asked to remain away from Larsen Student Union during these training exercises.

Summer Fitness Center membership

In addition to day, month, and year-long passes the fitness center is offering a prorated summer membership that runs May 8 – Aug. 18. The cost is $90 and includes unlimited access to our 14,000-square-foot facility during open hours (7 days a week). Procurement made easy

Did you know…?
A university issued purchasing card must be used for all university travel.  This is critical to ensure that appropriate insurance is in place when traveling.  If personal funds are used for travel expenses, reimbursements will not be issued until after the travel has occurred and proper documentation shows proof of travel.  Please refer to section 6 of Messiah University’s Expenditure Policy, or dial x6010 with questions.

Fiscal Year End important reminders

Messiah University’s fiscal year ends on Friday, June 30.  Transactions initiated during the last months of the fiscal year often warrant additional consideration to ensure that charges are recorded in the appropriate fiscal year.  Please review the timeline for Purchasing, Purchasing Cards (P-Card and DB-Card), and Accounts Payable below and call 717-691-6010 with questions or concerns.  We sincerely thank you for your cooperation.

PURCHASING
Now through June 12, 2023 –

Orders:

Purchase as needed.  Stockpiling supplies (including office supplies, t-shirts, chairs, standing desks, etc.) to spend your entire budget is prohibited.

Deliveries:

Communicate definitive delivery dates with suppliers.  Purchases must be received on campus by June 30, 2023 in order to be expensed in the FY23 budget.  Please complete the receiving process in One$ource as soon as items arrive on campus.  Be sure to update receiving note stating the date you received the item.   Purchases received on campus July 1, 2023 or later will be expensed in the FY24 budget.  This is required by accounting principles, and we cannot make exceptions to this policy.

Open Purchase Orders:

Budget managers should check the status of open purchase orders.  Select the “Encumbrance” column on the Self Service Budget Query.

Contact Purchasing to close any open POs that should not be rolled to FY24.

Examples of PO’s that should be closed:

  • Blanket PO where the final delivery for the year has been made
  • PO where goods have not and will never be delivered
  • PO where the invoice price was lower than the amount entered on the PO

Thursday, June 8, 2023 –

Last day that requisitions for items to be expensed to the FY23 budget are entered – see delivery information above.

Friday, June 9, 2023 –

Budget managers should approve or deny all requisitions in their queue by 5:00 PM.

Monday, June 12 – Friday, June 23, 2023 –

Please contact Purchasing for assistance with urgent requisitions for items that will positively be received by June 30, 2023 and are to be expensed to the FY23 budget.

Requisitions for items to be expensed to the FY24 budget and FY24 blanket orders can be entered at this time, however, items must not be delivered to campus prior to July 1, 2023.  This must be communicated to suppliers in the delivery notes section of the requisition.  Also, please note in the justification section that the requisition is for FY24. The effective date for FY24 blanket orders must be 7/1/23 or later.

Monday, July 3, 2023 –

Requisitions for FY23 goods and services cannot be entered during FY24.  Please contact Purchasing for assistance.

Continue to enter FY24 requisitions and blanket orders.

PURCHASING CARD (P-CARD AND DB-CARD)

Cardholders

Allocate all June Purchasing Card transactions by end of day Thursday, July 6, 2023.  Please allocate posted July transactions at this time as well.

  • If June purchases are for FY24 (example: conference registration for a conference that takes place in FY24), please begin the description with “FY24” and email accounting@messiah.edu with the date, amount, and coding for the transaction.  Accounting will make an entry so FY24 funds are used.
  • If July purchases are for items received before June 30, 2023, please begin the description with “FY23.”

Approvers

Approve all Purchasing Card transactions by end of day Tuesday, July 11th.  Please approve allocated July transactions at this time as well.

Invoice Processing

If you receive an invoice, please email it to accountspayable@messiah.edu.

Submit all employee and student reimbursements, and expense reimbursements for speakers or contracted services from FY23.

Accounting principles require that all goods and services must be expensed in the year that they are delivered or performed, NOT when the invoice is received.  If you have purchased goods or services that were delivered or performed by June 30, 2023, but do not have an invoice, please contact Accounts Payable for guidance. 

Friday, July 14, 2022 –

Final day to submit FY23 invoices to Accounts Payable for processing and payment.

Final day to submit employee and student reimbursements, and expense reimbursements for speakers or contracted services from FY23.

If you receive an invoice for FY23 goods or services after this date, please email it to accountspayable@messiah.edu immediately, noting that it is for FY23.

Nursing Research Conference

Representatives from the undergraduate department of nursing attended the 17th annual WellSpan Health Collaborative EBP and Nursing Research Conference on April 18 at the Penn Harris Hotel in Camp Hill, PA. The conference theme was EBP and Nursing Research: Finding a Better Way. Senior nursing majors and their nurse mentors presented evidence-based practice posters as follows. Alyssandra Apaga, Kelsey Day, Jadyn Jeffers, Avery Kohl, Michelle Phan, Alyssa Trimmer, and Rachel Weaver (Nurse Mentor from Penn State Holy Spirit: Sheila Rhodes RN, BSN, CNOR) presented “Workplace Violence: Does Education Increase Nursing Confidence and Improve Attitudes?” Coby Bracken, Jared Diethrich, Jordyn Hirak, Maddie Hughes, Kristen Louder, Sophia Spadaccino, and Lauren Teisen (Nurse Mentor from Penn State Holy Spirit: Tammy Rice RN, CPAN) presented “The Effect of COVID-19 on the Moral Distress Levels in Critical Care Nurses.” Erin Lownsbery, Michaela Miller, Sara Frey, Brieanna Hess, Joannah Doutrich, and Noah Bradbury (Faculty Mentor: Jeffrey Stroup DNP, RN, CEN) presented “To Screen, or Not to Screen: Using Standardized Screening Protocol for Child Maltreatment in the Emergency Department.” Sami Pangle, Kaitlyn Farah, Bri Seip, Olivia Orendorf, Katherine Forney, Joy Hedrick, and Kyra Montgomery (Faculty mentor: Kimberly Fenstermacher PhD, CRNP) presented “Nonpharmacological Evidence-Based Methods to Decrease Length of Stay in Hospitalized Infants with Neonatal Abstinence Syndrome.” Savanna Smucker, Tierney Welsh, Lexi Putt, Sam Blevins, Emmi Hagenbuch, Michael Roach, & Rebekah Keller (Faculty Mentor: Brenda Elliott PhD, RN, CNE, ANEF) presented “The Use of ICU Diaries to Decrease Psychological Sequela in Adults.” Brenda Elliott received the Outstanding Manuscript Award for the 2022 co-authored publication “Above and beyond the call of duty: Rural home care and hospice nurses’ experiences caring for veterans.”

As a new grandmother to the dearest set of little twins, I’m looking for two infant swings or bouncy seats – the kind that vibrate or sway to soothe babies (hopefully to sleep).
