Ephesians 3:20

ACKNOWLEDGEMENTS

After many years of service and strong departmental leadership, Roseann Sachs is stepping down as chair of the Department of Chemistry and Biochemistry and Rick Schaeffer will step into this role this fall. Under Roseann’s leadership, the department has educated thousands of students from numerous majors with excellent pedagogy, the program achieved certification from the American Chemical Society, and the quality of undergraduate student research and laboratory facilities/equipment rivals or surpasses that of major U.S. universities. As a respected educator, scholar and institutional citizen across the applied and liberal arts with years of service to Messiah, Rick is well poised to take the helm of this undergraduate department. Please join the dean of science, engineering and health in thanking Roseann and welcoming Rick.

_____

Join colleagues on Friday, June 30 from 10 a.m.- noon in the lobby of student financial services, located on the 3rd floor of the Kim Phipps Admissions Welcome Center, to fellowship and thank Carol Good as she finishes serving at Messiah for 16 ½ years.

Procurement made easy

Did you know…?
Messiah University’s Expenditure Policy governs the spending of institutional funds.  Institutional funds are spent by using a Purchasing Card, submitting a requisition in One$ource or by requesting a reimbursement.  It is the responsibility of any employee using institutional funds to be familiar with the Expenditure Policy.  Failure to adhere to the guidelines in the policy could result in personal reimbursement to the university for funds spent.  Commonly referred to sections are: 6 for Travel; 9 for Hospitality and Non-Travel Meals and Refreshments and 10 for Expenses Not Allowed.  As always, call x6010 if you have questions.

Did you know…?
If you receive an invoice from a supplier, be sure to forward it to accountspayable@messiah.edu and note the PP# in the subject line. Do NOT attach the invoice to an existing (already approved) purchase order (PP#) because purchasing and A/P are not notified of new attachments. Also, don’t assume that accounts payable has also received the invoice. If you receive an invoice by email, mail, or in a package, forward to A/P and they will delete it as a duplicate if they too received it.
Have an invoice and no purchase order? Contact Purchasing (x6010) for instructions on how to proceed.

Active shooter exercise

Messiah University is required by the Jeanne Clery Act to annually review crisis response plans and to participate in training exercises. Each time the crisis response team participates in these exercises there is a review and lesson learned process, better preparing campus for emergencies.

On May 11 and 18 – between 8 – 11 a.m. – Messiah University will be partnering with the Upper Allen police department on a mock active shooter situation at Larsen Student Union. On May 11, the Messiah department of safety and the Messiah crisis response team will actively engage in the exercise, working through Messiah’s response plans. On May 18, the police department will work with the department of safety staff. During this time there will be multiple police vehicles and officers moving about campus. It is important to know that live ammunition will NOT be utilized or permitted during these drills. All people are asked to remain away from Larsen Student Union during these training exercises.

For questions, please contact Kathie Shafer, vice president for operations at kshafer@messiah.edu or Bryce Wickard, director of safety, at bwickard@messiah.edu or at 717-691-6005 x 2467.

Procurement made easy

Did you know…?
A university issued purchasing card must be used for all university travel.  This is critical to ensure that appropriate insurance is in place when traveling.  If personal funds are used for travel expenses, reimbursements will not be issued until after the travel has occurred and proper documentation shows proof of travel.  Please refer to section 6 of Messiah University’s Expenditure Policy, or dial x6010 with questions.

Fiscal Year End important reminders

Messiah University’s fiscal year ends on Friday, June 30.  Transactions initiated during the last months of the fiscal year often warrant additional consideration to ensure that charges are recorded in the appropriate fiscal year.  Please review the timeline for Purchasing, Purchasing Cards (P-Card and DB-Card), and Accounts Payable below and call 717-691-6010 with questions or concerns.  We sincerely thank you for your cooperation.

Now through June 12, 2023 –

Orders:

Purchase as needed.  Stockpiling supplies (including office supplies, t-shirts, chairs, standing desks, etc.) to spend your entire budget is prohibited.

Budget managers should check the status of open purchase orders.  Select the “Encumbrance” column on the Self Service Budget Query.

Contact Purchasing to close any open POs that should not be rolled to FY24.

Examples of PO’s that should be closed:

  • Blanket PO where the final delivery for the year has been made
  • PO where goods have not and will never be delivered
  • PO where the invoice price was lower than the amount entered on the PO

AROUND CAMPUS

Important undergraduate commencement information for employees

Schedule and details

Messiah University will be hosting Commencement weekend for the undergraduate Class of 2023 on May 5-6.

Members of the Community of Educators should have already received information from the Provost’s Office regarding their participation in Commencement weekend. Faculty, staff and administrators who are participating in the Commencement ceremony itself should have already received an email memo regarding their role in the ceremony from the Commencement Committee. If you have any questions regarding Commencement, please contact Carla Gross, co-chair of the Undergraduate Commencement Committee, at ext. 6940 or cgross@messiah.edu.

Important employee parking information for Baccalaureate (Friday, May 5)

  • From 6 a.m. until 10 p.m., the VV (Visitor’s lot) will be closed to employees so families of our graduates have access to parking for Commencement-related activities.
  • For Baccalaureate, Department of Safety personnel will direct guests to designated parking areas on campus. Guests will walk to Eisenhower Campus Center. There is no shuttle service provided that eveningNote:Messiah employees do not receive reserved parking for Baccalaureate.  It is also important to note that Baccalaureate is a ticketed event; see the Commencement web site for details.
  • If you have questions regarding parking for guests with a disability, visit https://www.messiah.edu/info/20305/visitor_resources/407/parking.

Important employee parking information for Commencement day (Saturday, May 6).

  • Members of the Community of Educatorsand other employees who are marching in the processional or participating in the Commencement ceremony will receive a reserved parking pass via campus mail from the Provost’s Office (educators) or directly from their supervisor (staff/administrators). Drivers MUST show their parking pass to traffic control personnel upon entering campus to be directed to their designated reserved parking areas.

All other employeeswho will be working the Commencement ceremony will receive parking instructions with their assignment.

  • Due to the significantly increased volume of traffic on campus for Commencement, the Department of Safety strongly encourages all employees to arrive on campus no later than 8:15 a.m.in order to alleviate being delayed in traffic, and to assist in being directed to their reserved parking areas on campus.
  • It is also extremely important to follow all parking direction and instruction from safety personnel while entering and leaving campus, as traffic conditions can change quickly and officers are not able to stop traffic flow to have conversation with individual drivers.
  • An important reminder—employees are not permitted to schedule vendor visits, pick-ups or deliveries on the day of Commencement as it interferes with the increased and altered traffic flow on campus that day.

Join colleagues on Tuesday, May 2, 3-4:30 p.m. in the Jordan atrium to thank and wish a fond farewell to Jeff Moshier as he finishes five years of service to Messiah as special assistant to the president and provost for program development. Jeff has contributed to the university in numerous capacities, most recently leading new program development in graduate and adult degree completion, oversight of the university strategic plan, support for initiatives in science, engineering, and health and the launch of the Exploring Careers in Healthcare summer day camp. Jeff’s commitment to the university over many years is marked by excellence and integrity. We, in the Messiah community, look forward to celebrating his work and career and invite all to stop by for conversation and refreshments.

Jan Dormer will be retiring from Messiah at the end of this academic year. We are grateful for Jan’s years of teaching and service, most recently as the director of the Graduate Program in Education. Christina Simmons will assume leadership of the Graduate Program in Education beginning this summer. Please join me in congratulating Jan on her retirement and welcoming Christina to her new leadership role.

There is no shuttle service provided that evening. Note: Messiah employees do not receive reserved parking for Baccalaureate.

  • Members of the Community of Educators and other employees who are marching in the processional or participating in the Commencement ceremony will receive a reserved parking pass via campus mail from the Provost’s Office (educators) or directly from their supervisor (staff/administrators). Drivers MUST show their parking pass to traffic control personnel upon entering campus to be directed to their designated reserved parking areas.

  • All other employees who will be working the Commencement ceremony will receive parking instructions with their assignment.
  • Due to the significantly increased volume of traffic on campus for Commencement, the Department of Safety strongly encourages all employees to arrive on campus no later than 8:15 a.m. in order to alleviate being delayed in traffic, and to assist in being directed to their reserved parking areas on campus.

Do you help run a Messiah-affiliated social media account?

In recent weeks, many Messiah-affiliated social media accounts have experienced unexpected issues with logging in, verifying account-holder identity, and having pages unpublished without warning.

If you participate in managing an account for a Messiah department, office or team, the Office of Marketing and Communications would like to remind you that it is very important that you take these basic steps below to help mitigate future issues with your accounts.

  • Instagram
    • Be sure that at least 2 Messiah employees have the password to the account.
    • When logged into your Messiah-affiliated Instagram account, go to Settings > password and security > personal details. Be sure that the email address in there is a Messiah-based email address; the phone number is an employee cell phone number that can receive text messages; and make note of the birth date that is currently set. You will need those items to retrieve an account and confirm your identity for the account should you get locked out.WITHOUT THESE DETAILS, THE RETRIEVAL OF YOUR ACCOUNT IS NEARLY IMPOSSIBLE.
    • Save those details above in a safe location on Messiah’s server should you need to reference them.
    • Consider making the review of these details part of a yearly process in your area. Be sure to change those details if the employee managing the account leaves Messiah, as their Messiah email will be deactivated.
  • Facebook
    • Be sure that at least 2 current Messiah employees are listed as admins on the account. You can edit page roles by going to the business page > settings > page roles > assign a new page role.

If your area has both a Facebook page and an Instagram page, consider connecting the two. This makes it easier to manage and cross-post, and easier to recover an account if something goes wrong. You can see directions for how to do that here. Many other tips and tricks can be found on Meta’s Business Help Center, found here.

Grant Awardee!

Micaiah Saldana is the 2022-2023 Friends of Murray Library Student Research Grant awardee. Micaiah will graduate in 2024 with a bachelor’s degree in English with a Concentration in Professional Writing.
Her research project is entitled “My Last Military I.D.” and Other Stories From Growing Up Army. As an English major, Micaiah has learned a lot about storytelling. Whether studying stories in literature courses or learning how to craft them in writing courses, stories have always been central to her academic studies at Messiah University. This focus on stories has greatly influenced Micaiah’s project. The main goals for her project are to harness the power of storytelling to provide a space for fellow military kids (children of U.S. servicemembers) to feel seen and to help members of the non-military community better understand and interact with the military community.
Micaiah’s research will culminate with a presentation at the annual Friends dinner in the fall of 2023. Christine Perrin and James LaGrand are her faculty advisors.

Do you not know that your bodies are temples of the Holy Spirit, who is in you, whom you have received from God?

You are not your own; you were bought at a price. Therefore honor God with your bodies.

2023 fall semester – faculty work submission deadlines

Note to faculty: please read.

Due to the new Campus Store vendor’s textbook subscription service, Slingshot Choice, the due dates for faculty submissions of copyright and non-copyrighted material have been adjusted. With enrollment in this new service, the Campus Store aims to deliver a student’s required course materials, including course packets and lab manuals, to the student’s room a week before the semester starts.
As a result, the Campus Store needs these materials to be received into their inventory sooner than in the past.
In addition, copyright permissions are requiring a longer turnaround time to process requests.
Thank you in advance for your understanding. Below are the new dates.

Deadline Dates for Fall Semester 2023 (begins Tuesday, Aug. 22)

May 10:
• Course packs and lab manuals for sale in the Campus Store requiring copyright clearance

• Electronic copyrighted course materials posted in Canvas
• Print course packs/lab manuals for sale to students in Messiah University Campus Store that REQUIRE copyright clearance
• Print lab manuals/course packs for sale to students in the Campus Store that DO NOT REQUIRE copyright clearance

Needed

Commencement help needed! On Saturday, May 6, Messiah University will host the 2023 undergraduate commencement. This is an exciting day for campus and particularly for the new alums and their families. Messiah University’s commitment to hospitality shines on this day and we need your help to make the day successful.

The Division of Operations is looking for employees, not already participating in the commencement ceremony, to work. We need bus hosts, field ushers, assistance in traffic control and other duties. The day starts somewhere between 7-8:30 a.m. (depending on role) and is expected to end no later than 2 p.m. (depending on role).

Hourly employees who work commencement will be paid at their current wage rate, and where appropriate, overtime will be applied. All hours worked are to be recorded on the regular department time sheet.

All members of the COE and President’s Cabinet are expected, as part of their regular assignment, to march at commencement and/or provide support for commencement activities.

Are you interested in working and helping us celebrate the class of 2023? If so, please email Randy Heintzelman at rheintze@messiah.edu.

Looking for cameras.  Do you have an old digital camera collecting dust at home? I’m looking to purchase several simple, point and shoot digital cameras for a special event. Willing to pay up to $10 per camera. It must generally still work and hold a battery charge; SD card helpful but optional. Thanks! Email smyers@messiah.edu
